Excel 2016: Add Protection to Excel Files

Excel 2016 logoIn Excel, it is very easy to change content in cells – click in a cell and type. Whatever content previously resided in that cell is immediately replaced by the new figure. In most cases, this may be what you want to happen. However, allowing users to type whatever they want, wherever they want, can also create many problems within the file. If you used formulas to track data being entered on other spreadsheets, for example, those formulas can be wiped out simply by hitting the space bar. If a user does not pay attention to the Formula Bar as they enter data, they may not even realize that they have erased content. Rearranging worksheets after formulas have been established can also effect results throughout a workbook. You may want to hide worksheets or cell content to prevent others who use the workbook from seeing that content. Without protecting a worksheet or workbook, anyone with access to the file can unhide everything.

Whether you are the only user of a workbook, or multiple people have access to it, you can prevent changes from being made to Excel files by applying protection. You can apply worksheet protection, workbook protection, or both.

  • Worksheet protection prevents the changing of worksheet content. Lock cells you do not want people to have access to, and unlock cells they should be able to make changes to. In addition to letting people make changes to cell content, you may also want them to format cells, column or rows – the Protect Sheet dialog box, used when applying worksheet protection, allows different options.
  • Workbook protection prevents the changing of the file structure. Adding, deleting, or hiding worksheets, for example, is not allowed.
