Word 2016 LogoUpdating department documents is a common task and, in many instances, more than one person provides input. You may want to make revisions to a document and later decide if those revisions should replace the original content. You may also want to include comments to discuss some of the changes. That’s where Track Changes and Comments come in. Before distributing the final document you’ll want to make sure that it does not contain any “mark up.” That’s where Track Changes and Comments go out.

When you turn on Track Changes, Word inserts marks showing where deletions, insertions, and formatting changes are made. Any change you make will be marked as a revision until you turn off the Track Changes feature. Comments can be added at anytime – you do not have to turn on Track Changes to insert a comment. There are various ways to hide tracked changes or comments. You may think all of your changes have been removed because no “mark-up” is displayed. However, any change made to a document while Track Changes is turned on remains part of the document until it is accepted or rejected. Any comment that was inserted must be deleted. Use commands on the Ribbon to ensure all changes and comments have been removed prior to sending your document out as a final copy. You can also use the Document Inspector to search for and accept all changes automatically.
